About Shipping

To ship items, you will use the UPS and USPS accounts that have been set up for all library staff to use. To access these accounts, you may use the computer located in the Receiving Room; the passwords are saved on this computer. If you would like to access these accounts from a different computer, contact the Fulfillment and Stacks Manager.

For domestic shipping, use the UPS account. For international shipping, use the USPS account.

If you are prompted for payment, use the Acquisitions Manager’s PCard information. Other payments will be charged automatically to the account you are using.

Shipping supplies are available in the Receiving Room.

For items that need to ship within the United States, use the library’s UPS account. If you are using the Receiving Room computer, much of the information that auto-populates will be for ILL shipping, so be sure to change whatever information is necessary for the shipment you are working on.

There is a scale in the Receiving Room to weigh your package.

Fill out all of the required fields and print the shipping label. Always use a shipping label slip to secure the label to the package and tape the sides down to ensure it sticks. Carefully pack your shipment following the instructions in the Packing section and seal your package. Place it on the right side of the long counter in the Receiving Room to be picked up by the Mailroom staff.

Some vendors will provide a UPS shipping label for you to use. Pack the book(s), seal the package, and affix the provided label. Take the package to the UPS Store in the Palmer House (17 E. Monroe St.); the entrance for the store is on Wabash between Monroe and Adams. Tell them you are shipping a package out and leave it with them.

For items that need to ship internationally, use the library’s USPS account. You will need to fill out the shipping address as well as customs information. For the customs information, saying “books” or “journals” is sufficient. 

There is a scale in the Receiving Room to weigh your package.

Fill out all of the required fields and print the shipping label and customs forms. Carefully pack your shipment following the instructions in the Packing section. International packages must be left open for inspection by Mailroom staff. Place your open package with its shipping and customs paperwork on the right side of the long counter in the Receiving Room to be picked up by the Mailroom staff. Include a shipping label slip to be affixed to the package once it has been inspected. You may secure the paperwork to the package with a paperclip or simply place it in the box.

There are boxes and shipping materials in the Receiving Room. Choose a box that is slightly larger than the materials you are shipping to leave room for bubble wrap or packing paper. Put enough padding around the materials so that they do not move around in the box. If the proper materials are not available, contact the Site Manager.

If you are using a recycled box, carefully remove or marker over any previous shipping labels.
