Circulation Manual: 2.3 Circulation Desk - Reserves

Staff Reserve

Full time staff with library privileges will sometimes not have a secure office for storing library materials or have another reason for preferring to keep materials in the Reading Room rather than checking them out. In these cases, we check materials out to Staff Reserve and store them by last name on the Staff Reserve shelves in the East Alcove. Staff Reserves are limited to 25 items at any one time. Staff Reserve flags are white and should include the staff member’s last name and the date the item was checked out. Specials, archives and oversized material that staff wish to work with over a period of time will also be checked out to Staff Reserve but kept in the cabinet behind the Circulation Desk.

Temporary Reserve

All other reserve needs whether for interns, students, faculty, docents, patrons, or others should be sent to Temporary Reserve. These shelves are above the current auction catalog cabinets and are also organized by last name. Since the loan period for Temporary Reserve is two weeks, we write the due date of the item on the flag rather than the checkout date. If a patron or library user would like to extend the period of a reserve, simply check the book out again, extending the due date by another two weeks. Occasionally, an extended due date will be requested at the point of checkout. Use the “change due date” function in the Temporary Reserve Patron record to select a custom due date. Please make sure the same date is indicated on the reserve flag. Every Monday, we clear the Temporary Reserve shelf of overdue items and replenish the flags in the flag hutch. {see section 13 “Short Tasks” for the step-by-step process for this]

Class and Project-based Reserves 

It often makes sense to keep a collection of books on reserve for certain curatorial or class projects. The items on project-based reserve will always 

 

1.Be located in the East Alcove 

2. Be checked out to a corresponding patron record 

3. Be flagged with the name of the patron record/class

Carrells and long term reserve

There are also a handful of patrons with ongoing research needs that necessitate a carrell marked with their name. These materials function much the same as Staff Reserve. They will be checked out to a patron record with the name that the carell is labeled with. Recalls for these items can be processed without notifying the user.
