All AIC staff members, after completing an orientation, may request items through the catalog. Signing in using your AIC credentials, you can search the catalog and request the materials or a scan from the item record.
Research Center staff will pull the item from the shelves and determine whether it can circulate outside the reading room, or if the item needs to be kept on the staff reserve shelves for library use only. Archival materials require an appointment.
If an item is eligible for circulation to onsite and home offices, you will receive an email notifying you that items are available on the staff circulation shelves. These are found on the staff circulation shelves that runs perpendicular to the circulation desk. Items are filed by your last name and will be held for up to two weeks.
Please leave the receipt with your name on it in the tray next to the hold shelf.
Staff may request an item that is checked out by another user. When a recall is placed through the catalog, the person who has the item checked out will get an email asking them to return it within seven days. When it is returned, the person who recalled it will be notified by email to pick it up.
Some items are not eligible for circulation and will instead be placed on the staff reserve shelves. All temporary staff members will have all items paged to the staff reserve shelves. Once the item has been paged, you will receive an email notifying you that items are available for you. These items are found on the shelves in the eastern alcove and are filed by your last name. Oversized items and pamphlet files are filed separately on the shelves next to normal sized items.
Items will remain on staff reserve for up to six months or until returned.
Some items, marked as ‘Specials’ can only be viewed while supervised. After these items are paged, the email notification will include a comment marking them as specials. Ask at the circulation desk anytime between 10 and 5 Monday-Friday to view specials you have on hold. A staff member will prepare the item for viewing, supervise your use, and either return it or place it back on hold for you.
Items we don't own can be requested from other institutions through Interlibrary loan. Some items will require supervised use. In those cases, you may use the item in the reading room anytime 10-5 Monday through Friday.
Scan requests placed through the catalog will be processed within two days and delivered to you via email. An overhead scanner is available in the reading room for use whenever the Franke Reading Room is open. No appointment is necessary to scan materials that are on the hold shelf for you or that are on staff reserve shelves in your name, but please consult with library staff first if the book seems fragile or has a tight binding. You are welcome to photograph, without flash, or scan materials in the library's special collections during your research appointment. Scans of archival materials must be requested during your appointment or via archives@artic.edu.
When you are finished with them, place items on the counter of the returns desk. If you have more items to return than can be safely carried, you can also contact circul@artic.edu to arrange a bulk return. Library staff will come to your departmental office with a cart to pick up.
The vast majority of our collection is housed in stacks throughout the building. When you join us for an orientation, we will take you on a tour of the three stacks areas you can access on your own.
